Administrative Staff Member (m/f/d, E9a TV-L, 100%, permanent)

The Tübingen AI Center is one of five AI competence centers in Germany that receive permanent funding from the Federal Ministry of Research, Technology and Space (BMFTR). It is based at the University of Tübingen and embedded in a rapidly growing science campus. The institute works closely with the Max Planck Institutes for Intelligent Systems and for Biological Cybernetics, respectively, the ELLIS Institute Tübingen, and the Cyber Valley Innovation Campus.

We are looking for a motivated, friendly, and reliable staff member to join the administrative office of the Tübingen AI Center.

Responsibilities

  • Supporting the management team in all administrative matters, including financial administration and human resources processes
  • Independent correspondence in both German and English with third-party funding agencies, research institutions, and project partners
  • Communication with the central administrations of the participating institutes as well as with researchers (primarily doctoral candidates and postdoctoral researchers)
  • Assisting in preparing and organizing conferences, seminars, workshops, and meetings, as well as in preparing reports
  • General office organization

Requirements

  • Completed commercial training or comparable qualifications, preferably in business administration
  • Strong numerical aptitude, excellent analytical skills, and sound knowledge of accounting
  • Experience in managing third-party funding (DFG, BMFTR, EU, etc.) or state funding
  • Experience in university administration and in international affairs is an advantage
  • Excellent written and verbal communication skills, with outstanding spelling and grammar
  • Very good English skills
  • Strong organizational skills and a careful, structured, and forward-thinking working style in a dynamic environment
  • Enthusiasm for a wide range of tasks in a research-oriented environment
  • Ability to work well in a team, with a friendly, professional, and confident demeanor
